Most business leaders consume hours of valuable content weekly – podcasts, interviews, YouTube videos – then watch those insights fade into memory within days.
I recently cracked a simple system that transforms this consumption into a compound AI Knowledge Repository asset that drives real business decisions across my three companies: sendXmail, ZOPPLY, and HOT Leads.
Here’s exactly how I did it, and why it matters for your business.
The Problem with Passive Learning
Last week, I listened to two brilliant episodes of My First Million featuring Shaan Puri interviewing Alex Hormozi. Pure gold – frameworks on scaling businesses, pricing psychology, and customer acquisition strategies that these two used to build multi-million-pound companies.
But here’s the reality check: 95% of listeners will forget these insights within a week.
I used to be one of them. Consuming content, enjoying it, maybe sharing a quote or two, then moving on. The knowledge disappeared faster than my morning coffee.
My 4-Step AI Knowledge Repository System
Instead of letting those insights vanish, I built a system that turns any piece of audio content into a searchable, actionable knowledge base. Here’s the exact process:
Step 1: Extract the Full Transcript
First, get everything in text format since most LLMs still struggle with audio files.
For podcasts: Use goodtape.io – it’s secure, accurate, and handles multiple languages with speaker identification. Also, my oldest works there, so check it out. 😉
For YouTube videos: Use downsub.com – simply paste the YouTube URL and it extracts the complete transcript directly.
Both tools are free for basic use and take under 5 minutes for most content.
Step 2: Create Multiple AI Analyses
Upload the transcript to 2-3 different LLMs (Claude, ChatGPT, and Gemini work well) and ask each the same kind of prompt (you can do better, I’m sure):
“Extract all frameworks, teaching methods, and actionable insights from this transcript. Create a comprehensive blueprint in markdown format that I can use in my business knowledge repository. Focus on practical applications and specific strategies mentioned.”
Why multiple LLMs? Each one catches different nuances and frameworks. Claude might spot communication patterns, whilst ChatGPT identifies systematic approaches.
Step 3: Build Your Knowledge Repository
Take the best outputs and upload them to your preferred LLM Projects feature:
- Claude Projects for technical analysis
- ChatGPT Projects for strategic planning
- Gemini Gems for creative applications
Organise by topic clusters: Sales, Marketing, Operations, Leadership, etc.
Step 4: Active Knowledge Application
This is where the magic happens. Instead of just storing information, actively use your repository:
- Weekly strategy sessions: “Based on the Hormozi frameworks in my repository, how should we restructure our pricing for ZOPPLY?”
- Campaign planning: “Using the content marketing strategies from my knowledge base, create a 90-day campaign for sendXmail.”
- Problem-solving: “What would Shaan Puri recommend for our current lead generation challenge at HOT Leads?”
Beyond Podcasts: Scale the System
This approach works for any content source:
Books: Upload chapter summaries or key excerpts.
Industry reports: Extract main findings and recommendations.
Conference talks: Capture keynote insights and panel discussions.
Forum discussions: Mine Reddit threads and Slack conversations for community wisdom.
Internal meetings: Turn your own strategic discussions into searchable knowledge.
The Competitive Edge
Whilst your competitors consume content passively, you’re building a strategic knowledge advantage that compounds monthly.
In an attention economy where everyone consumes but few systematically capture and apply insights, this approach creates genuine competitive differentiation.
In short: Transform your content consumption from entertainment into business intelligence.
Your future self (and your bottom line) will thank you. 😉
What’s the most valuable piece of business content you’ve consumed recently?
Try this system and let me know how it transforms your approach to learning.
